The essentials in 30 seconds
- Verdict: Follow the order: contact the hotel directly with dates and headcount, request a room block, agree the contract, payment schedule and cancellation terms, then consider a full buy-out when your group fills most of a small property.
- Best for: Organisers booking several rooms or a whole property for a wedding, reunion, birthday or private retreat.
- Good to know: Room counts help you choose: Amansara lists 24 suites, Navutu Dreams 28 rooms and suites, Viroth's Hotel 35 guestrooms and Jaya House River Park 36 rooms. Room counts and policies are as listed in October 2026, so confirm before you travel.
- Next step: Shortlist two or three hotels, check the standard rate for your dates on Agoda and Booking.com, then send one enquiry with dates, headcount and occasion.
Booking a group is a short conversation more than a click. The hotel needs your dates, your headcount and your occasion, and you need a written offer that covers rooms, meals, payment and cancellation. Once both sides agree, the rest of the trip is easy to plan.
This page walks through the three booking formats, the steps in order, a shortlist from our directory and a sample enquiry you can copy. Whole-hotel rentals continue on the page about booking a whole boutique hotel. For the wider choice of occasions, return to groups and celebrations.
Standard booking, room block or buy-out
Choose the format by looking at how many rooms you need compared with the size of the hotel.
Three formats
- Standard booking: a small number of rooms reserved online on the usual terms. It suits a party of a few rooms.
- Room block: a set of rooms held under one contract. It suits a larger party at a hotel such as Raffles Grand Hotel d'Angkor with 119 rooms, Shinta Mani Angkor with 105 rooms and suites, or FCC Angkor by Avani with 80 rooms and suites.
- Buy-out: exclusive use of the property, agreed directly. It suits a party that fills most of a small hotel such as Amansara with 24 suites.
When in doubt, ask the hotel which format it recommends for your headcount. A reservations team sees many groups and can tell you quickly whether a block or a buy-out fits.
The booking steps, in order
From first email to contract
- 1Contact: write to the hotel directly with your dates, headcount and occasion.
- 2Quote: ask for a written proposal that lists room types, meals, services and total cost.
- 3Block: ask the hotel to hold the rooms while you confirm your guest list.
- 4Contract: read it, and ask for changes in writing where something is unclear.
- 5Payment schedule: agree the deposit and the dates of each instalment.
- 6Final list: send the names and room allocation by the date the contract sets.
Keep every answer in one email thread so that you and the hotel refer to the same document. Hotels list their direct contact details on their own pages, so confirm the right address there before you write.

What to agree in writing
A good contract answers the questions that come up in the weeks before travel. Ask the hotel to put each point on paper.
Points for the contract
- Release date: the day on which unused rooms return to the hotel.
- Attrition: how many rooms you may drop without a charge.
- Cancellation: the dates and the percentage charged at each stage.
- Inclusions: breakfast, transfers, welcome drinks, special dinners.
- Payment: deposit amount, due dates and accepted methods.
For comparison, ordinary bookings show how widely terms differ. Angkor Village Hotel lists free cancellation until 3 days before arrival, and Navutu Dreams lists free room-only cancellation more than 7 days before arrival, both as listed in October 2026. Group terms are agreed separately, so confirm before you travel.
A sample enquiry message
Copy this message, replace the details in brackets and send it to the hotel's reservations team.
Before you send it, enter the same dates on Agoda and Booking.com for the room types you have in mind. The rates you see there are a useful benchmark, and the hotel's group offer can be compared with them line by line.
